Privacy Policy
This Privacy Policy describes how ProfitDig LLC (“ProfitDig,” “we,” “us”) collects, uses, and shares information when you use the ProfitDig website and web application at app.profitdig.com (and related staging or admin hosts) and the ProfitDig Field App for iOS and Android (together, the “Services”).
ProfitDig is a construction project management product. Companies create accounts for their teams. We process information on behalf of the company that subscribes to ProfitDig.
1. Information we collect
Depending on how you use the Services, we may collect:
- Account information: name, email address, password (stored hashed), role, company affiliation, timezone, and two-factor authentication settings.
- Company and billing information: company name, subscription status, and payment records processed by Stripe. We do not store full card numbers on ProfitDig servers.
- Project and job records: projects, bids, costs, timesheets, notes, documents, daily diaries, signatures captured for diary sign-off, and related files your company stores in the Services.
- Photos and files: images and documents you upload, including receipt photos, diary photos, plans, and other attachments. These are stored on DigitalOcean Spaces.
- Device permissions (Field App): camera (to take photos), photo library (to attach an existing photo), microphone and on-device speech recognition (to dictate notes). We do not send dictation audio to ProfitDig or to a third-party speech AI; conversion to text happens on the device.
- Usage analytics: first-party
app_eventsfrom the Field App (for example, screen views and in-app actions) associated with your account and company. The web application may also load Google Tag Manager for site analytics and marketing measurement. - Technical and diagnostic data: IP address, browser or app version, device type, and crash/error reports (including via Sentry) to operate and fix the Services.
- Communications: emails we send (login, 2FA codes, invitations, bid or diary notifications) and related delivery events from our email provider (Mailgun).
2. Receipt images and OpenAI (Analyze)
When you use Analyze on a receipt or similar image in the Field App or on the web, ProfitDig reads the image from storage and sends it to OpenAI so that vendor, date, amounts, and line items can be suggested. You review an editable preview; ProfitDig does not auto-save Analyze results as costs.
That image leaves your company’s ProfitDig tenant and is processed by OpenAI under OpenAI’s terms. Analyze is optional. You can enter Materials and miscellaneous costs manually, including without a photo. Analyze is disabled when the device is offline. We apply a per-company daily Analyze cap to limit abuse and third-party processing cost.
3. How we use information
- Provide, secure, and improve the Services, including login, 2FA, subscriptions, and Field App features.
- Store and display project records your company creates.
- Process payments and manage subscriptions via Stripe.
- Send transactional email (and, if you opt in through our site, limited product communication).
- Diagnose errors, prevent abuse, and comply with law.
We do not sell personal information. We do not use receipt images or job files to train our own AI models.
4. How we share information
We share information with service providers that help us run ProfitDig, including:
- OpenAI — receipt Analyze, as described above.
- Stripe — billing and payment processing.
- DigitalOcean Spaces — file storage for uploads (receipts, documents, diary attachments, PDFs).
- Mailgun — transactional email delivery.
- Sentry — application error monitoring.
- Google — Tag Manager / analytics on the website, if enabled for that environment.
- Hosting — Laravel Cloud and related infrastructure for the web application and API.
We may also disclose information if required by law, to protect ProfitDig or our users, or in connection with a merger or sale of the business. Company administrators can see information for their own company according to their role (including pay-rate visibility rules in the product).
5. Cookies and sessions
The web application uses session cookies (and similar storage) to keep you signed in, remember appearance preferences, and protect against cross-site request forgery. The Field App stores a device-local API token after login so you can use the app until you sign out or the token expires.
6. Retention
We retain account, company, and project data while the company account is active and as needed for backups, billing, security, and legal obligations. Company administrators can delete many records in the product (including some files from storage). You may request deletion of an account by contacting us.
7. Security
We use HTTPS, hashed passwords, role-based access, company (tenant) scoping, and optional two-factor authentication. No method of transmission or storage is 100% secure.
8. Children
The Services are for business use and are not directed to children under 13 (or the equivalent age in your jurisdiction). We do not knowingly collect personal information from children.
9. Your choices and requests
- Update profile information in Settings.
- Decline camera, photo, or microphone permissions in the Field App; some capture and dictation features will not work.
- Skip Analyze and enter costs manually.
- Sign out to revoke the Field App session token.
- Email info@profitdig.com to access, correct, or delete personal information, or to ask a company administrator to do so. We may need to verify the request and, for company data, work through the subscribing company.
If you are in a jurisdiction with additional privacy rights (for example, certain US state or EEA/UK rights), contact us at the same address and we will handle your request as required by applicable law.
10. International processing
ProfitDig is operated from the United States. Service providers (including OpenAI, Stripe, and hosting) may process data in the United States or other countries.
11. Changes
We may update this policy. The effective date above will change when we do. Continued use of the Services after an update means you accept the revised policy.
